What this notice covers

Branch Agency Ltd is the data controller for personal data you provide when making an enquiry or booking a call. This notice covers this website and the business conversations that begin through it.

If we later process personal data on a client’s behalf as part of building or supporting their software, that processing is dealt with separately under the relevant client agreement.

What the website does and does not collect

Branch does not set cookies, run analytics, track visitors, use advertising technology or build profiles from browsing activity. There are no website accounts, contact forms or newsletter sign-ups.

Fonts and other site assets are served with the website, so a page does not contact an external font, analytics or advertising service. The only optional third-party feature embedded in the site is the Google booking calendar, which is not loaded unless you choose to open it. Our cookie policy explains this in more detail.

The website is hosted on Cloudflare Pages. Like any hosting provider, Cloudflare processes limited technical request data, such as an IP address, browser information and the page requested, to deliver and protect the site. Branch has not enabled Cloudflare Web Analytics and does not use this request data to analyse or track individual visitors. You can read Cloudflare’s privacy policy.

Information you give us

If you email us, we receive your name, email address and the contents of your message, including anything you choose to tell us about your organisation or project.

If you book a call, Google Calendar receives the name, email address, appointment time and any other information you enter on the booking page. The booking is added to our calendar and Google Meet provides the video-call link. We receive this information directly from you.

You do not have to provide personal data, but without a way to contact you we cannot reply to an enquiry or arrange a call.

How we use it and our lawful bases

We use enquiry and booking information to reply, arrange and prepare for a meeting, discuss your requirements, provide a proposal or quote, and deliver work if we go on to work together.

Where you ask us to take steps towards a contract, such as preparing a quote, we rely on the contractual necessity lawful basis. For general business enquiries and meeting administration where that basis does not apply, we rely on our legitimate interest in responding to people who contact Branch and considering potential work. We may also keep information where necessary to meet a legal obligation.

We do not sell personal data, use it for automated decision-making or profiling, or add enquirers to a marketing list. We do not send marketing emails or collect marketing consent through this website.

How long we keep it

We keep enquiry correspondence and booking information while the conversation is active and afterwards only for as long as reasonably needed to follow up, maintain an appropriate business record, resolve a dispute or meet a legal obligation.

If an enquiry becomes a project, relevant correspondence becomes part of the client record and is kept for as long as needed to perform the contract and meet legal, tax and accounting requirements. Information that is no longer needed is deleted or anonymised. We will also consider a valid deletion request unless the law requires us to retain the information.

Google Calendar and Meet

Google Calendar and Google Meet are the only interactive third-party services used on this website. The calendar loads only after you choose to open the booking panel. If you do not open it, the website makes no booking request to Google.

When you use the booking page, Google processes the technical information involved in visiting its service and the details you enter. Google operates internationally, so that information may be processed outside the UK under the safeguards described in Google’s privacy policy.

Who receives the information

Within Branch, enquiry and booking information is available only to the people who need it to respond or deliver the requested work. Google receives information when you use Calendar or Meet, Cloudflare processes technical requests needed to serve the website, and ordinary email providers handle messages sent by email. We do not disclose personal data to anyone else for advertising or marketing.

Your rights

Under UK data protection law, you may have rights to ask what personal data we hold about you, to have it corrected or deleted, to restrict or object to how we use it, and to receive it in a portable format. These rights are not absolute. Email liam@branchagency.co.uk and we will respond without undue delay and normally within one month, although the law allows longer in some circumstances.

If you are not satisfied with how we have handled a request, you can complain to the Information Commissioner’s Office.
